Do we have to drop our corporate hotel program to use a crew travel platform?
Not at all. Most companies we work with keep both. Your corporate rates are still great for the quick city trips your office staff book all the time. A platform just picks up the slack where those rates don't reach, like remote sites, big crews, or projects that change week to week.
Our rates are already pretty good. Is it still worth looking at a platform?
Probably, yes. A great rate on a room doesn't account for the time your team spends untangling invoices, the calls to find a last-minute room near a remote site, or the cost of a crew stuck commuting 40 minutes to work every day. Once you add all that up, the "cheaper" rate isn't always cheaper.
What if our crew size changes a lot from month to month?
That's actually one of the clearest signs a platform will help more than a fixed rate agreement. Corporate rates are usually locked in around a certain volume. A platform flexes with you, whether you need two rooms this month or twenty next month.
Can a platform actually find us something in a really remote area?
In most cases, yes. Since it searches hotels, camps, and rentals by proximity to your actual worksite rather than by city, it can turn up options a standard hotel search never would. And if there's genuinely nothing nearby yet, a good platform can work on adding a property in that market for you.
Will switching some travel to a platform create more work for our team, not less?
It should be the opposite. The whole point is pulling everything - bookings, invoices, crew details - into one place instead of a dozen. Most teams find they spend less time on admin, not more, once it's set up.
How do we figure out which trips should stay on our hotel program and which should move to a platform?
A simple gut check: if it's one or two travelers heading to a city for a short, predictable trip, your hotel program is probably fine. If it's a bigger crew, a remote site, a shifting schedule, or anything that needs to be tracked by project or cost center, that's a good candidate for a platform. You don't have to decide all at once. Start with your most difficult trips and see how it goes.
